Job Description
Responsibilities:
Executive Support to the Board:
Provide direct administrative and secretarial support to the Board of Directors
Prepare and circulate Board agendas, minutes, resolutions, and confidential documents
Coordinate and schedule Board meetings
Maintain an organized filing system for Board & all documents to be updated in the file
Communication :
Serve as the primary point of contact between the Board and executive management
Draft and proofread correspondence, briefing materials, and reports, invites,
Liaise with legal, compliance, finance, and other departments on behalf of the Board for any support required
Calendar & Travel Management:
Manage complex calendars, ensure accurate scheduling and prioritization of meetings
Coordinate local and international travel, visas, and accommodation for Board members
Track meeting , follow-ups, and deadlines, work across different time zones
Hotel Bookings, Local & International books, preparing itinerary and travel agenda on regular basis
Handle confidential corporate information with the utmost discretion
Ensure secure communication and proper record-keeping of Board matters
Handling of all payments personal and corporate and keeping the track of accounts
Project & Administrative Support:
Assist in organizing company events, investor meetings, and board off sites
Conduct research and compile briefing materials for strategic decisions
Monitor action points and ensure timely execution of Board directives
Required Skills
Proven experience as a Personal Assistant, Executive Assistant, or Board Secretary
8 years experienced
Excellent communication, writing, and interpersonal skills
High level of discretion, confidentiality, and professionalism
Strong organizational and time management skills
Minimum bachelor’s degree in business administration or equivalent
