Job Description
Responsibilities:
Create, review, and process purchase orders based on requisitions from various projects. Verify the accuracy of information, such as item descriptions, quantities, and delivery dates.
Communicate with suppliers to obtain quotations, negotiate prices, and confirm order details. Maintain professional relationships with vendors to ensure timely delivery and resolve any issues that may arise.
Prepare and manage the RFQ and RFP processes, including drafting documents, sending them to vendors, evaluating submissions, and recommending the most suitable supplier.
Assist in evaluating potential suppliers based on factors such as price, quality, and delivery capabilities. Collaborate with the procurement team to identify and onboard new suppliers when required.
Conduct research on market trends, pricing, and product availability to identify cost-saving opportunities and keep the procurement team updated with relevant information.
Maintain accurate and up-to-date procurement records, including purchase orders, invoices, contracts, RFQs, RFPs, and supplier information. Ensure all documentation is properly filed and easily accessible.
Adhere to company policies and procedures related to procurement activities. Stay informed about relevant laws and regulations affecting procurement, such as ethical sourcing practices and environmental standards.
Address and resolve issues related to late deliveries, incorrect orders, or damaged goods in a timely and efficient manner.
Required Skills
Bachelor’s degree in business, Supply Chain Management, or a related field is preferred but not mandatory.
3 to 5 years’ work experience with the same field.
Strong knowledge of procurement processes, including RFQ, RFP, purchase orders, and vendor evaluation.
Negotiation and communication skills for interacting with vendors and internal teams.
Analytical and research skills to compare suppliers and identify cost-saving opportunities.
Knowledge of procurement software or ERP systems (e.g., D365, SAP, Oracle, Ariba).
Attention to detail and ability to maintain accurate records.
Understanding of relevant laws, regulations, and ethical sourcing standards.
Problem-solving skills to resolve delivery issues or supplier disputes.
