Job Description
Responsibilities:
Financial Planning, Forecasting & Analysis
Prepare, forecast, and analyze revenue and cash flow projections and actual results, with a focus on student-related income streams.
Support management with financial planning, variance analysis, and revenue trend reporting for student finance and related academic activities.
Provide recommendations based on financial data and analysis to improve operational efficiency and accuracy in student finance processes.
Provide financial analysis and projections for student-related and academic activities that may be supported by external funding (e.g., scholarships, sponsored cohorts, program-specific grants), working with central Finance and other relevant offices to ensure consistency of assumptions and figures.
Reconciliations & Reporting
Perform monthly Student Financial and General Ledger (GL) reconciliations.
Prepare and analyze quarterly revenue and VAT reports.
Support financial audits by maintaining accurate, complete, and well-documented records.
Prepare internal financial summaries and reconciliations for accounts that capture externally funded support related to students or academic activities (such as scholarships, fee waivers funded by donors, or program sponsorships), ensuring that transactions are accurately recorded in student finance and GL systems.
Provide financial data and supporting documentation, as required, for reports produced by central offices that oversee external funding, helping to ensure alignment between student finance records and institutional reporting.
Operational Management & Administration
Review and manage the Student Finance (SF) Task Manager to ensure timely completion of assigned activities.
Prepare and maintain the quarterly SF Dashboard summarizing key financial and operational metrics.
Prepare the weekly Student Finance ServiceLink Ticket Dashboard to track and analyze service request trends.
Coordinate with academic units and relevant central university offices to set up and maintain appropriate student finance and related internal accounts for externally funded student and academic activities (e.g., sponsored student cohorts, externally funded programs), ensuring accurate and consistent financial treatment.
Accounts Receivable & Collections
Manage in-person student finance inquiries, including payment collection and receipting.
Review monthly term billing for accuracy and send follow-up communications regarding outstanding balances.
Prepare and review bi-weekly Aging Accounts Receivable (AR) reports with the finance team.
Process and track cash receipts and invoices related to externally funded student and academic activities (such as sponsorship payments, externally funded program fees, or donor-funded student charges), ensuring they are applied to the correct students, projects, and accounts.
Ad-Hoc Analysis & Support
Perform ad-hoc tasks and prepare analytical reports as required for student reporting, financial analysis, and management requests.
Respond to requests from academic units and central offices for financial information related to student accounts and student-related activities that may be supported by external funding, ensuring clarity and consistency of underlying data.
Required Skills
Bachelor’s degree in accounting, Finance, Business Administration, or a related field (CPA or equivalent certification preferred).
Minimum 3–5 years of relevant experience in accounting, financial analysis, or student finance operations.
Experience in higher education, student information systems, or financial ERP systems (e.g., Oracle, Workday, SAP) is an advantage.
Experience supporting financial tracking and reporting for projects, funds, or cost centers (e.g., scholarships, academic programs, or externally supported initiatives) is an advantage, particularly in a higher
education or non-profit environment.
Strong financial and analytical abilities with high attention to detail.
Advanced proficiency in Microsoft Excel and financial reporting tools.
Excellent organizational and multitasking skills.
Exceptional interpersonal and communication skills, with the ability to engage effectively and professionally with students, parents, and internal stakeholders.
Demonstrated ability to handle sensitive information with tact, diplomacy, and confidentiality.
Knowledge of VAT regulations and local financial compliance requirements preferred.
Awareness of how external funding (such as grants, gifts, and sponsorships) may flow through student and academic accounts, and ability to collaborate effectively with central Finance, Research, or Advancement offices on related financial information.
Ability and willingness to work flexible hours, including nights and weekends as operational needs require
