Job Description
Responsibilities:
Assist the Sales Team in Preparing Leads:
Manage approximately 2,000+ leads per show in CRM Dynamics.
Coordinate with the CRM team and IT.
Distribute ownership of leads to each salesperson across all four shows.
Upload Delegate Details for Group Bookings:
Handle bulk uploads in CRM Dynamics for approximately 2,000+ manual transactions across all four shows.
Raise Various Memos:
General memos
Cancellations
Order amendments
Delegate pricing
Agent appointments
Agent commissions
Refunds
Waivers
Credit notes
Payment extensions
Cash advances
Petty cash, etc.
Monitor and Track Memos:
Track all memos submitted across all four shows using an Excel sheet.
Assist in Processing Registrations:
Process registrations with order amendments in the CRM DS module across all four shows.
Apply order adjustments as per approved memos and coordinate with Finance.
Prepare Agreements for Delegate Sales Agents:
Draft agreements and seek necessary approvals.
Prepare Agreements for Certified Training Partners:
Draft agreements and seek necessary approvals.
Issue Delegate Certificates:
Issue certificates to approximately 5,000+ clients across all four shows.
Issue Visa Invitation Letters:
Prepare and send visa invitation letters to clients.
Send Documents via Courier:
Dispatch invoices and purchase orders.
Arrange Onboarding for Meeting Concierge Staff:
Raise PR for 30 Meeting Concierge Staff.
Liaise with HR, IT, and TS to arrange workstations, including laptop and IP phone collection from the IT office.
Apply for required system access for temporary staff.
Raise PR for Delegate Sales:
Raise PR as per Business Unit requirements.
Close Events Post-Show:
Fulfil orders and close events. Adjustments in CRM Dynamics post show.
Reconcile revenues CRM vs Masterlist
Perform Other Ad Hoc Tasks:
Handle additional tasks as needed.
