Job Description

Responsibilities:

Procurement Planning

Understand operational requirements from FM teams

Develop procurement plans aligned with project needs

Ensure availability of materials and services without delays

Sourcing & Vendor Management

Identify, evaluate, and onboard suppliers and subcontractors

Maintain an approved vendor database

Conduct technical and commercial evaluations

Ensure vendors meet quality, safety, and compliance standards

Tendering & RFQ Process

Prepare and issue RFQs (Request for Quotation)

Analyze quotations and prepare comparison sheets

Coordinate with technical teams for evaluation

Recommend best-value suppliers

Purchasing & Contracting

Issue Local Purchase Orders (LPOs)

Prepare and manage supplier agreements and contracts

Ensure all purchases comply with company policies

Track order status and ensure timely delivery

Cost Control & Optimization

Negotiate pricing, payment terms, and discounts

Identify cost-saving opportunities

Ensure procurement within approved budgets

Support value engineering initiatives

Coordination with Operations

Work closely with FM, maintenance, and project teams

Ensure materials and services are delivered as per schedule

Resolve supply chain issues proactively

Inventory & Logistics (if applicable)

Monitor stock levels and avoid shortages/excess

Coordinate deliveries and logistics

Ensure proper documentation and tracking

Compliance & Documentation

Ensure procurement activities follow company policies

Maintain proper documentation (RFQs, LPOs, contracts)

Support audits and reporting requirements

Scope of Procurement

FM consumables and spare parts

Maintenance services (PM & reactive)

Security services contracts

Fit-out materials and subcontractors

Specialized services (cleaning, MEP, etc.)

Required Skills

Bachelor’s degree in business administration, Supply Chain, or related field

CIPS certification is an advantage

Minimum 4–7 years of procurement experience

Experience in Facilities Management, Construction, or Real Estate

Strong knowledge of UAE supplier market

Strong negotiation and commercial skills

Vendor management and evaluation

Knowledge of procurement processes and contract terms

Good analytical and organizational skills

Ability to manage multiple requests simultaneously

Strong communication and coordination skills
