Responsibilities:
Lifecycle Project Coordination
Support the coordination of end-to-end project lifecycle activities, including feasibility, tendering, procurement, execution, commissioning, handover, and close-out.
Monitor and track project programmes, milestones, critical paths, and deliverables across all lifecycle stages.
Maintain and report on project timeline status, highlighting risks, delays, and mitigation actions.
Support lifecycle asset replacement, upgrade, refurbishment, and capital projects within facilities and infrastructure environments.
Project & Technical Coordination
Coordinate project activities across MEP/Civil disciplines.
Review and interpret MEP drawings, specifications, BOQs, and scopes of work.
Support resolution of technical, design, and coordination issues during execution.
Prepare regular project status reports for internal management and clients.
Tendering & Tender Status Management
Coordinate with procurement for the preparation, issuance, and administration of complex technical tenders, including scopes, BOQs, specifications, and schedules.
Manage tender clarifications, addenda, and correspondence in line with company procurement procedures.
Maintain and report on tender status trackers, including bid stages, approvals, submissions, evaluations, and awards.
Support technical and commercial tender evaluations and preparation of recommendation reports.
Procurement & Contractor Coordination
Liaise with Procurement and Commercial teams on supplier prequalification, sourcing, and appointment.
Coordinate with contractors, subcontractors, vendors, and consultants throughout the project lifecycle.
Support contractor mobilization, site coordination, and performance monitoring.
Ensure contractor compliance with approved scope, program, specifications, and UAE Codes of Practice.
Financial Tracking & Invoicing
Track project financials, including budgets, committed costs, variations, and forecasts.
Coordinate and monitor contractor and supplier invoicing, ensuring alignment with progress, approvals, and contractual terms.
Support preparation, review, and tracking of payment applications and cost recovery.
Maintain accurate records of invoices, payments, and outstanding balances for management reporting.
Project Controls & Documentation
Maintain complete and accurate project records, including drawings, RFIs, submittals, method statements, permits, and approvals.
Track variations, change orders, and claim in coordination with the Commercial team.
Support preparation of as-built drawings, O&M manuals, warranties, and handover documentation.
Ensure that project milestones are accurately updated in the CAFM system.
Testing, Commissioning & Handover
Coordinate testing, commissioning, snagging, and final handover of the projects.
Support defect liability period (DLP) activities and close-out of outstanding actions.
HSE, Quality & Compliance
Ensure compliance with Khadamat QHSE policies, UAE HSE regulations, and project-specific safety plans.
Support risk assessments, method statements (RAMS), and safe systems of work.
Promote a strong safety, quality, and compliance culture across all project stakeholders.
Required Skills:
Diploma or bachelor’s degree in mechanical engineering, Electrical Engineering, or a related discipline, OR
Recognized technical or trade qualification in Mechanical and/or Electrical systems with relevant project experience. Experience
3–6 years’ experience in a Technical Project Coordinator, Engineering Coordinator, or similar role within the UAE/GCC.
Demonstrated experience managing project lifecycle activities, tender tracking, invoicing, and program monitoring.
Experience in MEP, facilities management, construction, infrastructure, or industrial projects. Technical Skills & Knowledge
Solid understanding of mechanical and/or electrical systems and MEP coordination.
Ability to read and interpret drawings, specifications, BOQs, and contracts.
Knowledge of UAE/GCC tendering, procurement, and contract administration practices.
Experience tracking project timelines, tender status, and financial/invoicing data.
Proficient in MS Office; experience with ERP, CAFM, or project management systems preferred.
