Responsibilities:
RFP and tender ownership: read and dissect incoming RFPs, RFQs and briefs, run the go/no-go assessment with me, and own the submission calendar, clarification questions and compliance checklist through to filing.
Creative and technical response: lead the response narrative and concept development, brief and coordinate creative, technical, production and sales input, and produce the final proposal deck and written submission.
Costing and BOQ: build the full costing and BOQ with procurement and production, run reduction and value-engineering options, and defend the margin position in internal reviews before submission.
Client pitch: prepare and lead client pitch presentations, handle post-submission clarifications and negotiation rounds, and convert awarded bids into signed scopes.
Delivery leadership: once awarded, act as producer on the project, owning the production plan, budget control, supplier management, schedule and on-site execution through to handover and close-out.
Pipeline and pitch assets: maintain the live opportunity tracker and pitch calendar, keep the credentials, case studies and pricing templates current, and run post-pitch reviews so learnings feed the next bid.
Stakeholder management: single point of contact for the client, procurement and internal stakeholders across sales, creative, production and finance for each opportunity she owns.
KPIs
Submission compliance: 100% of assigned bids submitted on time and fully compliant with the RFP requirements.
Conversion: win rate on assigned bids, measured against the department's current rate, with a target of matching or improving it.
Pipeline value: value of opportunities produced and submitted in the period, against the Live Events target.
Margin protection (EBITDA): awarded projects delivered within the approved budget and at or above the margin committed at pitch stage.
Delivery quality: awarded projects delivered on time, on scope, with client sign-off and no unresolved post-event issues.
Pitch readiness: proposal and pricing templates, credentials and case studies kept current, with post-pitch reviews completed within one week of each submission.
Required Skills:
8+ years in events or experiential agencies, with a demonstrable record of both winning bids and producing the resulting projects, ideally in the UAE or GCC public sector and government tender environment (winning DCT pitches is a big plus).
